Terms & Conditions

These Terms & Conditions govern the use of the Nexora conference platform, conference registrations, payments, participation, submitted content, cancellations and related services.

1. Provider and Scope

Nexora is a conference platform operating under the responsibility of Dr.Amir Azmi.

These Terms apply to the use of the Nexora website and platform, including conference information, registration, payment, abstract or paper submission, participation and related digital services.

2. Contracting Party

For conferences and events that are directly offered and managed by Nexora, the contractual relationship is between the participant and Nexora / Dr.Amir Azmi.

Where Nexora acts only as a registration or technical platform for an independent third-party organizer, the actual contracting party will be clearly disclosed to the participant before registration and payment.

The applicable event page, registration information and event-specific terms may contain additional conditions that apply to a particular conference.

3. Eligibility and User Responsibilities

Users are responsible for providing accurate, complete and up-to-date information when using the Nexora platform.

Users must not use the platform for unlawful purposes, attempt to interfere with its operation, submit fraudulent information, impersonate another person or gain unauthorized access to accounts, systems or data.

Participants are responsible for reviewing the conference information, registration conditions, fees and applicable event-specific requirements before completing registration.

4. Conference Registration

A conference registration is considered complete when all applicable registration requirements have been fulfilled.

Registration generally requires:

  • Submission of the required registration information.
  • Acceptance of the applicable Terms & Conditions.
  • Successful payment of the applicable registration fee, where a fee applies.
  • Issuance of a registration confirmation.

Registration confirmations are normally provided electronically.

5. Abstracts, Papers and Submitted Content

Participants may be invited to submit abstracts, papers, presentations, biographies or other conference-related materials.

By submitting content, the participant confirms that they have the necessary rights and permissions to submit and use the material for the relevant conference purposes.

Submitted materials must not contain unlawful, infringing, defamatory or otherwise prohibited content.

Event-specific submission, review and publication rules may apply depending on the conference.

6. Intellectual Property

Unless otherwise stated, the Nexora website, platform, branding, design, software and original materials are protected by applicable intellectual property laws.

Participants retain rights in content they independently own, subject to any permissions or licenses granted for conference administration, review, presentation or publication.

No content may be reproduced, distributed or commercially exploited without the necessary rights or authorization.

7. Payments, Fees and Taxes

Applicable registration fees and other payable amounts will be displayed before the participant confirms payment.

For conferences directly managed by Nexora, the payment recipient is Dr.Amir Azmi / Nexora, unless another contracting or payment recipient is clearly identified for a particular event.

Payment confirmation and/or an invoice will be provided where applicable.

VAT and Base Registration Price

Where German standard VAT applies to a conference registration, a VAT rate of 19% is added to the applicable base registration price.

The base registration price and the applicable VAT amount are taken into account when determining the total amount payable by the participant.

The final payable amount, including applicable VAT, will be displayed to the participant before the payment is confirmed.

The applicable VAT treatment is determined in accordance with the applicable German and European Union tax regulations and, where relevant, the tax rules applicable to the country in which the event takes place.

Depending on the circumstances, the applicable VAT treatment may take into account factors such as the physical location of the event, whether participation is onsite, online or hybrid, whether the participant is a business or consumer, the participant's location and applicable VAT status.

Any applicable VAT and the resulting total payable amount will be reflected in the relevant payment and/or invoice information where required.

8. Cancellations and Refunds

Participant cancellation and refund rights are governed by the applicable event-specific conditions, these Terms & Conditions and mandatory applicable law.

Where Nexora cancels a conference and does not provide a suitable replacement date or alternative format that is accepted by the participant, registration fees paid for the cancelled event will be refunded in accordance with applicable law.

Unless mandatory law provides otherwise, Nexora is not responsible for independently booked third-party expenses such as airline tickets, hotel reservations, visa costs, transportation, accommodation or travel insurance.

Participants are therefore advised to consider refundable or insured travel and accommodation arrangements.

9. Changes to Conference Date or Venue

Nexora may change the conference venue where reasonably necessary for organizational, operational, safety, regulatory or other legitimate reasons.

If the replacement venue is in the same city or a reasonable geographic area and there is no material change to the nature of the event, the registration will generally remain valid.

Where a venue change is substantial, particularly where it involves another city or country and materially affects attendance, participants will be informed as soon as reasonably possible. Any applicable cancellation or refund rights will be handled in accordance with applicable law and the circumstances of the event.

Conference dates may also be changed where reasonably necessary. Participants will be informed of material changes as soon as reasonably possible.

If a material date change prevents participation, the participant may request cancellation or a refund where such right exists under applicable law or event-specific conditions.

10. Force Majeure

Events may be affected by circumstances beyond Nexora's reasonable control, including natural disasters, severe weather, earthquakes, floods, fires, war or armed conflict, terrorism or serious security threats, civil unrest, epidemics or pandemics, governmental restrictions, border closures, travel restrictions, major strikes, transportation disruptions, venue closure or unavailability, major infrastructure or utility failures and governmental or regulatory orders.

In such circumstances, Nexora may postpone the event, change the date or venue, change an onsite event to a hybrid or online format, or cancel the event.

Participants will be informed of material changes as soon as reasonably possible.

Refunds and other participant rights remain subject to mandatory German and European Union law and the specific circumstances of the event.

11. Privacy and Personal Data

Personal data is processed in accordance with applicable data protection laws and Nexora's Privacy Policy.

Depending on the service used, information may be required for registration, payment processing, conference administration, communication, certificates, attendance management and related operational purposes.

Users should review the applicable Privacy Policy and Cookie Policy for further information about personal data and cookies.

12. Third-Party Services and Links

Nexora may use third-party services for payment processing, hosting, communication, analytics, conference technology or other operational purposes.

External websites may also be linked from the Nexora platform. Nexora does not control third-party websites and is not responsible for their content, policies or availability.

13. Payment Disputes and Chargebacks

Participants are encouraged to contact Nexora Support before initiating a payment dispute where a payment has been incorrectly processed, duplicated or otherwise appears to be incorrect.

Where legally permitted, Nexora may provide relevant registration and transaction records to the applicable financial institution in connection with a chargeback or payment dispute.

Such records may include registration information, transaction confirmations, invoices, registration confirmations, acceptance of the Terms & Conditions, refund or cancellation correspondence, attendance records and QR or check-in records.

Nothing in these Terms limits mandatory legal rights concerning unauthorized transactions, consumer protection or payment disputes.

14. Suspension and Termination

Nexora may restrict or suspend access to the platform where reasonably necessary to protect the platform, users, data or services, or where there is a violation of applicable terms or law.

Such action does not affect mandatory legal rights of the participant.

15. Changes to These Terms

Nexora may update these Terms & Conditions when reasonably necessary, including to reflect changes in services, legal requirements or operational practices.

The version published on the website applies from its stated effective date. Material changes will be communicated where required by applicable law.
